Why the right accounting software can make a big difference to your business

The accounting conference season is in full swing, and with Accountex a few weeks behind us, it’s got me thinking.  If I feel overwhelmed by the sheer number of finance systems out there – and I’ve spent over 10 years recommending and implementing them – how does someone running or starting a business feel?

When you are trying to grow a business, accounting software probably isn’t your top priority.  So where do you start? Do you go with the advert you saw on tube? A recommendation from a friend? Or the system your last employer used? After all, aren’t they all the same?

Why they’re not all the same

A helpful comparison is supermarkets.  On the surface, they all do the same thing: sell food and household goods.  In reality, you choose where you shop based on your needs – whether that’s convenience, quality, price or experience.  Accounting software is no different.  Most systems have similar core features, but what really matters is:

 

  • How they fit your business
  • How easy they are to use
  • How much time they save you

 

Where do you start?

First, and this may sound harsh – do you have the time and experience to research the options properly? I know how to top up the coolant in my car but, if the radiator fails, I’ll call a mechanic.  Knowing your limits can save you time, stress and costly mistakes.

Next, think about what your business actually needs. A window cleaner and an online retailer will have completely different requirements:

 

  • A window cleaner may need to raise invoices on their phone and take instant payments on-site
  • An online retailer could be processing thousands of transactions a week and needs automation and integration

Choosing the system is only half the job – setting it up correctly is just as important.  It’s not just about adding your logo and bank details, it’s about accurate opening balances, correct financial data and proper structure and reporting.

If this isn’t right, your data won’t be reliable, leading to confusion, wasted time and poor decision-making.

 

Using it properly

Even the best system won’t help if it’s not used effectively, for example, older desktop systems may require manual invoice sending, whereas modern cloud systems can automate this instantly.

Small differences like this can save significant time, especially at scale.  And when you introduce new apps or integrations, understanding how they work (and how they fit your processes) is key to unlocking their value.

 

Why your choice matters

With the right system it works for you, saving time meaning you can focus on growing your business.  With the wrong system simple tasks become time-consuming and frustration quickly builds as you’re working for the system and not building your business.

Ultimately, it’s the difference between spending time on your business, or spending it fixing your processes.

 

Thinking ahead

It’s important to consider where your business is heading.  Will your system still work for you in 12-24 months time?

Outgrowing a system too quickly means additional cost, disruption and time spent re-implementing. In many cases, it’s better to invest slightly ahead of where you are than play catch-up later.

 

What is an App Stack and Eco-System?

You may hear terms like “App Stack” or “Eco-System”.

In simple terms, this is your core accounting system plus any apps that integrate with it.  These apps can automate processes, connect systems together and improve reporting. Not every business needs a complex setup, but the right combination can deliver significant efficiency gains

 

How much does it cost?

This is often the deciding factor, as there is always a balance between cost and value.  For example, if a £50 per month system reduces a 10-hour task to 2-3 hours, is it worth it?  That’s 7-8hours saved, time that could be spent growing your business. The key is to weigh:

 

  • Time savings
  • Efficiency gains
  • Financial impact

 

And involve both decision-makers and day-to-day users in that process

 

In summary

The right accounting software does more than manager your numbers.  It gives you time back, improves control and supports growth. Choosing the right system isn’t just an operational decision, it’s a strategic one.
